1. Introduction

These Terms and Conditions govern your access to and use of the services offered by The Student Life, a brand operated by Socials BV, registered at Wolstraat 70, 1000 Brussels, Belgium, with company registration number 1023312881 (referred to in these terms as "The Student Life," "we," "us," or "our").

By purchasing a ticket, creating an account on our website, joining one of our community platforms, or otherwise using our services, you agree to be bound by these Terms and Conditions. If you do not agree, you must not use our services.

These Terms and Conditions should be read together with our Refund Policy and our Privacy Policy, which form part of the agreement between you and The Student Life.

2. Definitions

In these Terms and Conditions, the following words have the following meanings.

"The Student Life," "we," "us," or "our" refers to the brand operated by Socials BV.

"You" or "the student" refers to any person accessing our website, purchasing a ticket, joining our community platforms, or otherwise using our services.

"Event" refers to any gathering, party, activity, or experience organised or hosted by The Student Life.

"Ticket" refers to the QR code or other form of proof of purchase that grants entry to an event or access to a service offered by The Student Life.

"Welcome Package" refers to the bundle consisting of a preparation guide, a virtual meetup, a self-guided city game, and entry to a party or event, as included with every ticket sold by The Student Life.

"Semester Pass" refers to the ticket type granting access to all events offered by The Student Life in a given city within a semester, along with the Welcome Package.

"Community Platforms" refers to any WhatsApp group, online community, or other digital space operated by The Student Life for students.

"Venue" refers to any location at which an event takes place, including bars, clubs, outdoor spaces, and any other site hosting a TSL event.

"Website" refers to the official website of The Student Life, accessible at https://jointhestudentlife.com.

3. Description of services

The Student Life organises events, parties, and related experiences for students and other eligible participants. As part of our services, we sell tickets to individual events and to bundled products such as the Semester Pass and the Welcome Festival Package. Every ticket includes access to the Welcome Package.

The Welcome Package consists of a preparation guide delivered as a PDF by email, a virtual meetup hosted by The Student Life, a self-guided city game, and entry to a party or event.

The Student Life also operates community platforms, primarily WhatsApp groups, intended to support students before, during, and after events.

We reserve the right to modify, add, or discontinue any of our services, event formats, or platforms at any time, subject to the refund entitlements described in our Refund Policy.

4. Eligibility and age requirements

You may only purchase tickets and attend our events if you are at least 18 years old, or the legal drinking age in the country where the event takes place, whichever is higher. By purchasing a ticket, you confirm that you meet this age requirement.

Although our events are branded and marketed towards students, you do not need to be an enrolled student to attend. Any person who meets the age requirement and agrees to these Terms and Conditions may participate.

Age and identity verification is carried out at the event venue by on-site staff, who may refuse entry to anyone who cannot provide valid identification or who does not meet the age requirement. No refund will be issued in such cases.

5. Account creation and purchase process

Tickets are purchased through our website. At the point of purchase, you will be required to provide accurate personal information, including your full name, email address, and any other information necessary to process the transaction.

You are responsible for keeping your information accurate and up to date. The Student Life is not responsible for any issues arising from incorrect or outdated information you have provided, including failure to receive tickets, preparation guides, or event communications.

By completing a purchase, you agree to these Terms and Conditions, our Refund Policy, and our Privacy Policy.

6. Pricing and payment

All prices displayed on our website are in the local currency of the event and include VAT where applicable, in accordance with applicable EU and local consumer law. Booking fees or service charges may be added on top of the ticket price and will vary by event and country. Any such fees will be clearly displayed at the point of purchase before you complete your transaction.

Payment is processed through our ticketing partners, currently Weeztix and Celebratix. Accepted payment methods include credit card, debit card (Visa, MasterCard), iDEAL, and any other method supported by our ticketing partners at the time of purchase.

Payment is taken in full at the time of purchase. Your ticket will only be issued and delivered once payment has been successfully processed. If payment fails, no ticket will be issued, and no contract will be formed between you and The Student Life.

The Student Life is not responsible for any fees charged by your bank or card issuer in connection with a transaction.

7. Tickets, delivery, and transfer

Upon successful payment, your ticket will be delivered by email in the form of a QR code. You are responsible for ensuring that you receive this ticket and for checking spam and promotional folders if it does not appear in your inbox. If you do not receive your ticket, you must contact us at support@jointhestudentlife.com.

Each ticket grants entry to one person for the specified event or service. The holder of the valid QR code at the time of the event will be admitted. You are responsible for keeping your QR code secure and not sharing it unintentionally.

You are free to sell, transfer, or give away your ticket to another eligible person. The Student Life is not involved in any private transaction between individuals and accepts no responsibility for disputes arising from such transactions. However, the original purchaser permanently forfeits all refund rights once a ticket has been transferred, as described in our Refund Policy.

8. Refunds

Refunds are governed by our Refund Policy, which forms part of these Terms and Conditions. By purchasing a ticket, you acknowledge that you have read and accepted the Refund Policy.

In summary, refunds are only available in specific circumstances, including full event cancellation by The Student Life, rescheduling of an event by 14 or more days, and verified duplicate or erroneous purchases within the purchase review window. Refunds are not available for reasons personal to the student. Please refer to the Refund Policy for the full terms.

9. Code of conduct at events

You agree to behave respectfully towards other attendees, The Student Life staff, venue staff, security personnel, and any third parties at our events. Behaviour that is unsafe, threatening, harassing, discriminatory, intoxicated, disruptive, or otherwise inappropriate will not be tolerated.

You are obligated to obey the directions and regulations of The Student Life, its organising partners, venue staff, security personnel, and any other authority recognised by The Student Life. Failure to comply with such directions, or conduct that constitutes endangerment, intoxication, threatening behaviour, or violence, will result in automatic exclusion for the remainder of the event and may result in exclusion from future events.

The Student Life, or the staff of the venue where the event takes place, may refuse entry to, or remove from an event, any person whose conduct is deemed unsafe, disorderly, intoxicated, abusive, or in breach of venue rules or local laws. No refund will be issued in such cases.

A ticket is a revocable licence to attend. That licence may be withdrawn where your conduct warrants it.

10. Prohibited items

You may not bring to any event any of the following items: firearms, fireworks, knives, or any other weapons; illegal drugs or controlled substances; outside alcoholic beverages unless expressly permitted; dangerous objects of any kind; or any item prohibited by the venue, by local law, or by the organising team. The Student Life and venue staff reserve the right to determine whether an item qualifies as prohibited or dangerous.

Venue staff and security may inspect bags and personal belongings on entry. Prohibited items may be confiscated, refused entry, and where appropriate, handed over to the police. The Student Life is not responsible for items confiscated or refused at the door.

11. Venue rules and precedence

Our events are hosted at third-party venues that have their own rules, house policies, and conditions of entry. You agree to comply with these venue rules at all times during the event.

Where any rule or condition set by the venue conflicts with these Terms and Conditions during the event itself, the venue's rules take precedence. This includes but is not limited to age policies, dress codes, capacity limits, security procedures, and last-entry times.

12. Community platform rules

When you join any community platform operated by The Student Life, including WhatsApp groups, you agree to the following.

You will treat other members with respect. You will not post content that is harassing, discriminatory, sexually explicit, threatening, spam, or otherwise inappropriate. You will not share personal information about other members without their consent. You will not use the community platforms for commercial solicitation or promotional activity of any kind without our prior written permission.

The Student Life reserves the right to remove any content, and to remove any member, from a community platform at our discretion where these rules are breached. Removal from a community platform does not entitle you to a refund of any kind.

While we moderate our community platforms where practical, we do not monitor all content in real time. The Student Life is not responsible for content posted by members. If you encounter content that violates these rules, please report it to us at support@jointhestudentlife.com.

13. Intellectual property and use of the preparation guide

All content created and distributed by The Student Life, including but not limited to the preparation guide, our website content, logos, branding, marketing materials, and event content, is the intellectual property of The Student Life or its licensors. It is protected by applicable copyright, trademark, and other intellectual property laws.

When you purchase a ticket, you receive a personal, non-transferable, non-exclusive right to use the preparation guide for your own use. We kindly ask that you do not redistribute, share, publish, or resell the preparation guide. Unauthorised redistribution undermines the service we provide to all students.

You may not reproduce, republish, or commercially exploit any of our content without our prior written permission. You may not use The Student Life's name, logo, branding, channels, or events for any promotional or commercial activity of your own without our prior written consent.

14. Photography, filming, and media at events

Our events are photographed and filmed by third-party photographers engaged by The Student Life for the purpose of marketing, promotion, and community content. By purchasing a ticket, you acknowledge that you may appear in photographs or video recordings taken at our events, and you consent to The Student Life using such materials in our marketing and promotional activities, including on our website, social media, and advertising.

The Student Life holds the copyright to all photographs and video recordings taken at our events. Such materials will be published only after editorial review, and they may not be altered, edited, or reused by any third party without our written consent. We retain the right to remove any published material at our sole discretion.

If you do not wish to appear in promotional materials, you may contact us at support@jointhestudentlife.com to request the removal of specific content in which you are identifiable. We will make reasonable efforts to honour such requests in line with our obligations under applicable data protection law.

15. Privacy and data

The processing of your personal information by The Student Life is governed by our Privacy Policy. Our Privacy Policy sets out what data we collect, why we collect it, how we store it, and your rights under applicable data protection laws, including the General Data Protection Regulation (GDPR).

16. Participant liability and indemnification

You are responsible for your own conduct at our events and on our community platforms. You will be held liable for any damage you cause, whether to The Student Life, to other participants, to venue staff, to venue property, to the property of third parties hired by The Student Life, or to any other person or property at or in connection with an event. This includes damage caused during the setup, duration, or breakdown of any event.

You agree to indemnify and hold harmless The Student Life against any claims, damages, losses, costs, or expenses, including reasonable legal fees, arising from your breach of these Terms and Conditions, your unlawful conduct, or any claim brought by a third party in connection with your conduct at an event or on our community platforms.

17. Liability of The Student Life

The Student Life takes reasonable care to organise events that meet the description provided at the point of sale. However, to the extent permitted by applicable law, our liability to you is limited in the following ways.

The Student Life is not liable for any travel, accommodation, visa, or other personal costs incurred by you in connection with attending an event, including where an event is cancelled, postponed, or rescheduled.

The Student Life is not liable for the conduct of other attendees, venue staff, or any other third parties at an event.

The Student Life is not liable for loss, theft, or damage to your personal property at an event.

The Student Life is not liable for any indirect or consequential damage, including lost profits, missed savings, or loss of opportunity, arising from your participation in an event.

Nothing in these Terms and Conditions excludes or limits The Student Life's liability for death or personal injury caused by our negligence, for fraud, for intentional misconduct, for gross negligence, or for any other liability that cannot be excluded under applicable law.

Except as stated above, and to the maximum extent permitted by law, The Student Life's total liability to you in connection with any single event or purchase is limited to the amount paid by you for the ticket in question.

18. Force majeure

The Student Life is not liable for any failure to perform, or delay in performing, any of our obligations under these Terms and Conditions where such failure or delay results from circumstances beyond our reasonable control, including but not limited to natural disasters, pandemics, government-imposed restrictions, venue failure through no fault of our own, civil unrest, acts of terrorism, strikes, or any other unforeseeable event that makes it illegal, impossible, or commercially impractical to proceed.

In such cases, we will make reasonable efforts to reschedule the affected event. If rescheduling is not possible, the refund terms set out in our Refund Policy will apply.

19. Modifications to events and services

The Student Life reserves the right to make reasonable changes to event details, including the venue, start time, supporting programme, line-up, or other elements, without these changes constituting a cancellation. We will communicate material changes to ticket holders as early as reasonably possible.

Changes that meet the criteria defined in our Refund Policy will entitle the affected ticket holders to a refund. Changes that do not meet those criteria will not.

20. Termination of access

The Student Life may suspend or terminate your access to our services, refuse to sell you tickets to future events, or remove you from our community platforms if you breach these Terms and Conditions, act unlawfully in connection with our services, attempt to defraud us or other students, initiate a chargeback or payment dispute outside of the circumstances permitted under our Refund Policy, engage in conduct that we reasonably believe damages the safety of our events or the experience of other students, or otherwise engage in conduct that we reasonably believe damages The Student Life.

Termination does not entitle you to a refund, except where required by our Refund Policy or applicable law.

21. Governing law and dispute resolution

These Terms and Conditions, and any dispute arising out of or in connection with them or with your use of our services, are governed by the laws of Belgium.

Any dispute that cannot be resolved amicably between you and The Student Life will be submitted to the exclusive jurisdiction of the courts of Brussels, Belgium.

Nothing in this clause limits your rights as a consumer under the mandatory consumer protection laws of your country of residence. In particular, consumers resident in the European Union retain the right to bring proceedings in the courts of their country of residence where required by applicable law.

In accordance with EU Regulation No. 524/2013, consumers resident in the European Union may also access the European Commission's Online Dispute Resolution platform at https://ec.europa.eu/consumers/odr for the out-of-court resolution of disputes arising from online transactions. We are willing to participate in such dispute resolution procedures where legally required.

22. Language

These Terms and Conditions are issued in English. In the event that they are translated into other languages in the future, the English version shall be the authoritative version and shall prevail in the event of any conflict or discrepancy between versions.

23. Severability

If any provision of these Terms and Conditions is found to be unlawful, void, or unenforceable by a court of competent jurisdiction, that provision shall be deemed severable from these Terms and Conditions and shall not affect the validity or enforceability of the remaining provisions.

24. Entire agreement

These Terms and Conditions, together with our Refund Policy and Privacy Policy, constitute the entire agreement between you and The Student Life in relation to your use of our services. They supersede any prior agreements, understandings, or communications, whether written or verbal, between you and The Student Life on the same subject matter.

25. Changes to these Terms and Conditions

The Student Life may update these Terms and Conditions from time to time to reflect changes in our services, legal requirements, or business practices. Updates will be published on our website with a new "last updated" date. Material changes will be communicated to students where reasonably possible. Your continued use of our services after any update constitutes acceptance of the revised Terms and Conditions.
